How to Handle Out-of-Hours Calls Without Working 24/7

Calls come in evenings and weekends whether you like it or not. Here's how to catch that work without being glued to your phone at 11pm.

Your customers don't only think about their leaking tap between 9 and 5. A lot of enquiries land in the evening, at the weekend, or first thing before you've had a brew. Ignore them and you lose the work. Answer every one and you never switch off. There's a better middle ground.

The problem with evenings and weekends

Out-of-hours calls put you in a bind:

  • Answer everything and you're never really off the clock — bad for you and your family.
  • Ignore everything and Monday morning you've got a list of people who've already booked someone else.

Most trades drift into one or the other. Neither is a plan. What you want is a way to catch the enquiry without committing to answering the phone at 9pm.

Let a text do the after-hours shift

The fix is the same tool that catches your missed calls during the day: an automatic text back. When a call comes in after hours, the caller instantly gets a message that sets expectations without you lifting a finger.

Something like:

"Thanks for calling! We're closed for the evening but I've seen your message. If it's a genuine emergency, reply URGENT and I'll call you back. Otherwise I'll be in touch first thing tomorrow."

That one text does three jobs: it reassures a normal enquiry so they wait for you, it filters out the true emergencies, and it protects your evening. If you want more wording, here are some missed-call text templates to start from.

Decide what an "emergency" actually is

Before you switch off for the night, be honest about what genuinely can't wait — a burst pipe, no heating in winter, a lockout. Everything else can happily wait until morning. Letting callers flag the real emergencies (by replying URGENT) means you only get pulled out for the jobs that truly need it, and everything else is teed up for the next day.

Protect your time and still win the work

Handling out-of-hours calls well isn't about being available round the clock — it's about no enquiry going unanswered while you keep your evenings. If it's work calls landing on your personal mobile at 10pm that grates most, it's worth asking whether you need a separate business number too. An instant text back gives the customer that fast reply that wins so many jobs, without you being on call all night.

ReplyBack answers your after-hours calls with a text automatically, so you can close the laptop, have your tea, and still wake up to a list of warm enquiries instead of missed calls. Try it free for 14 days.
