How to Write a Quote That Wins the Job

The cheapest quote doesn't always win — the clearest one often does. Here's how to price and present a quote so more customers say yes.

Two tradespeople can quote the same job for the same price and only one gets the work. The difference usually isn't the number at the bottom — it's how the quote is put together and how quickly it lands. Here's how to make yours the one that gets the nod.

Get the quote out fast

The single biggest thing you can do is send it quickly. If you quote same-day and the other bloke takes a week, you've often won before you've even talked money. The same speed-to-lead rule that wins enquiries wins quotes too — reply while they're still thinking about the job and you're miles ahead.

Make it clear and easy to read

A confusing quote makes a customer nervous, and a nervous customer keeps shopping. Keep yours simple:

  • Put your name, number and what the job is right at the top.
  • Use plain words, not trade jargon they won't understand.
  • Make the total easy to find — don't bury it.
  • Say what's included and what isn't, so there are no surprises.

You want them to read it once and understand exactly what they're getting.

Break down what they're paying for

When someone sees a single big number with no explanation, it's easy to think it's too much. Break it down a little — labour, materials, anything extra — and suddenly the price makes sense. It also stops the "why so expensive?" conversation before it starts, because they can see where the money goes. And if you're not certain the number itself is right, start with how to price a job properly — a breakdown is far easier to stand behind when the rate underneath it is worked out rather than guessed.

Don't just send it and hope

Sending the quote isn't the end of the job — it's halfway. Plenty of work is lost simply because nobody followed up. A quick, polite nudge a couple of days later often seals it. We've covered how to follow up on a quote without being pushy — it's one of the easiest wins going.

Look professional at every step

A clear quote, sent fast, followed up properly — that's what makes a customer trust you before you've even started the work. It's the same reason a fast reply to the first call matters so much: people book the tradesperson who feels reliable and on the ball.
